Airfare Tips for Organizers on the Move

Today, we're going outside of our usual arena and applying our resourceful skills to tackle one of the most expensive aspects of an organizer's life: travel. Sam Oliker-Friedland, our Deputy Director of Data & Technology, is also a Travel Jedi Master. The man knows how to book travel from anywhere to everywhere and always gets the best deal. Whether you're booking personal travel for yourself or arranging a group summit, Sam's got you covered.

Now, think about ways you're going to spend that newly repurposed money. Don't worry. You can thank us later.

Travel Tips:

  • Create a spreadsheet: Names, Departing Airports, Arriving Airports, and your Budget
  • Start with Kayak.com. It's the best, most comprehensive site with the best deals.
  • Southwest flights can be found only on the airline website. If you're flying on Friday or Sunday, they tend to be more expensive than other airlines.
  • Always search alternate nearby airports to get the best deals - they will get you to your city, but probably for cheaper.
  • ALWAYS book directly on airline websites. Most have a 24-hour cancellation policy, and then you're not stuck if one of your travelers has to cancel.
  • Sign yourself or your company up for some frequent flier miles, STAT. They're free!
  • Don't be afraid to send people on one-way flights on multiple airlines -- you can sometimes get as much as $100 cheaper!
  • Cheapest day to fly? Saturday
  • Smaller airlines, like Jet Blue and Virgin America, can be problematic because they don't have flights going out as frequently. Be wary of them for group travel - missing a flight could turn into a logistical nightmare.
  • Got a lot of people coming from the same city? Call the airline - 10+ people on a flight is eligible for cheaper group rates.
  • More sites that help you out: SeatCounter.com to see how many flights are left on a particular flight, SeatGuru.com for seat availability.
  • Last-minute deals can be booked via "cheeps" and "twares" on Twitter.
